Compliance, Security & Approval
Identifying compliance obligations, security requirements and hosting constraints before design begins — not as an afterthought. This stage ensures the system we build meets GDPR/DSGVO obligations, handles data appropriately and is approved by all stakeholders before development starts.
GDPR / DSGVO Requirements
Mapping which personal data the system will collect, process or store, identifying legal bases for processing, defining consent mechanisms, planning data retention and deletion, and ensuring the system architecture supports GDPR obligations from the ground up — not retrofitted after launch.
- Personal data inventory (what data, whose data, why)
- Legal basis for processing each data category
- Consent mechanism design and implementation plan
- Data retention and deletion policy definition
- Data subject rights implementation (access, deletion, portability)
- Third-party and sub-processor identification
- Privacy notice and cookie policy requirements
- Data Protection Impact Assessment (DPIA) triggers identified
Security Requirements
Defining the security controls the system must implement — authentication, authorisation, data encryption, input validation, API security, penetration testing requirements and access logging — before the architecture is designed, so security is built in rather than bolted on.
- Authentication method (password, MFA, SSO)
- Authorisation and role-based access control model
- Data encryption requirements (in transit and at rest)
- Input validation and injection prevention
- API security requirements
- Audit logging and access monitoring
- Penetration testing requirements
- Vulnerability disclosure process
Data-Location Requirements
Confirming where data will be stored and processed — with German and EU hosting options available by default for businesses that require or prefer EU data residency. We document the hosting plan and flag any services that route data outside the EU, so you can make an informed decision.
- Data residency requirement confirmation (EU / Germany)
- Hosting provider selection with EU options
- Third-party service data routing audit
- Sub-processor data location documentation
- Backup location and data residency
- Data residency documented for client compliance records
Roles & Responsibilities
Documenting who is responsible for what — on both the client side and the StringLogix side — throughout the project. This includes who approves deliverables, who provides content and test data, who manages stakeholder communication internally, and who handles technical sign-offs.
- Client project owner and decision-maker identified
- StringLogix project lead and developer allocation
- Deliverable approval authority documented
- Content, assets and test data provision responsibilities
- Stakeholder communication chain documented
- Technical sign-off responsibilities
- Change request approval authority
- Post-handover support responsibilities
Dependencies & Approvals
Identifying everything the project depends on that is outside the direct control of the development team — third-party API access, legal approvals, domain or hosting access, design assets, stakeholder sign-offs and internal procurement processes — so these are obtained before they block development.
- Third-party API access and credentials required
- Domain, hosting and server access needed
- Design assets, branding and content to be provided
- Internal procurement or legal approvals needed
- Regulatory approvals or certifications required
- Timeline for resolving each dependency
- Risk of each dependency causing delay
- Owner assigned for each dependency
Client Approval & Go-Ahead
Formal written approval from the client that the scope, cost, timeline, security plan and compliance approach are all agreed and correct before any development work begins. This protects both parties and ensures no misunderstanding carries into the build phase.
- Scope document approved in writing
- Cost and payment terms agreed and signed
- Timeline and milestones confirmed
- Security and compliance approach approved
- Data-location and hosting confirmed
- Formal project start date agreed
